Best Invoicing Software for Freelancers in 2026

Most freelancers send their first invoice as a Word doc cobbled together in Canva. By client three or four, you're chasing payments manually and spending Sunday evenings on admin that should take ten minutes. We tested seven tools on ease of setup, automation, pricing, and time tracking.

Bottom line: FreshBooks is the best all-round pick for most freelancers. Wave is the best free option. Xero is the strongest choice if you work with an accountant, bill international clients, or are based in Europe.

#1

FreshBooksBest overall

The cleanest invoicing experience for most freelancers.

4.5
From $23/mo

Pros

  • Best-in-class ease of use
  • Automatic late payment reminders
  • Recurring invoices and late fees
  • Solid mobile app
  • 30-day free trial

Cons

  • 5-client cap on cheapest plan
  • No free plan
  • $11/mo per extra team member
  • FreshBooks branding on lower plans

FreshBooks started as a freelance invoicing tool and has never lost that focus. The interface is cleaner than QuickBooks, the mobile app is genuinely usable on the go, and the automation handles the parts of invoicing most freelancers hate: payment reminders, recurring invoices, and late fees all run without you touching anything.

Pricing: Lite $23/mo (5 clients) · Plus $43/mo (50 clients) · Premium $70/mo (unlimited). FreshBooks frequently runs 70–90% off for the first three months — check the pricing page before signing up.

The catch: The 5-client cap on Lite is stingy. Six active clients pushes you straight to the $43 tier. Each extra team member costs $11/month on top.

Skip it if: You have fewer than three clients and a zero budget — Wave covers basic invoicing for free.

WaveBest free

4.0
Free / $19/mo Pro

Pros

  • Unlimited invoices and clients
  • Real double-entry accounting
  • No trial timer — free forever
  • Receipt scanning included

Cons

  • 2.9% + $0.60 payment processing fee
  • No native time tracking
  • Chatbot support only on free plan
  • No recurring billing on free plan

Wave is the rare free product that doesn't feel like a trap. The Starter plan gives you unlimited invoices, unlimited clients, and genuine double-entry bookkeeping — with no trial timer. For a freelancer who gets paid by bank transfer, Wave costs nothing to run.

Pricing: Starter free · Pro $19/mo (automated bank imports, recurring billing, priority support).

The catch: Payment processing costs 2.9% + $0.60 per transaction — for a freelancer billing $3,000/month online, that's $1,044/year in fees.

Skip it if: You bill by the hour, need time tracking, or want a human to call when something goes wrong.

#3

XeroBest for Europe

Full accounting depth with VAT compliance and multi-currency.

4.0
From $25/mo

Pros

  • Peppol e-invoicing for EU compliance
  • VAT return preparation
  • Accountant collaboration built in
  • 1,000+ app integrations

Cons

  • No free plan
  • 20 invoice/month cap on cheapest plan
  • Steeper learning curve
  • Multi-currency gated behind $90/mo

Xero is accounting software that happens to be excellent at invoicing. If you work with an accountant, Xero is the tool they're most likely to already use — you give them access and they handle your books without needing to export anything.

Pricing: Early $25/mo (20 invoices) · Growing $55/mo (unlimited) · Established $90/mo (multi-currency, expenses, projects). Currently running 90% off for the first 6 months — check their pricing page.

The catch: More than most solo freelancers need. The cheapest plan caps invoices, and multi-currency is gated behind the most expensive tier.

Skip it if: You just need clean, fast invoicing in one currency — FreshBooks or Wave will serve you better.

#4

Zoho InvoiceBest free with automation

The most feature-rich free invoicing tool available.

4.0
Free

Pros

  • Permanently free — not a trial
  • Recurring invoices and auto reminders
  • Multi-currency at no cost
  • Client portal included

Cons

  • 1,000 invoice/year cap
  • Busier interface than FreshBooks
  • Best with other Zoho products
  • No affiliate program

Zoho Invoice is permanently free for core invoicing — not a trial, not a freemium bait-and-switch. You get up to 1,000 invoices per year, recurring billing, automatic payment reminders, a client portal, and multi-currency support at no cost.

Pricing: Free. If you need the broader accounting suite, Zoho Books starts at $15/mo.

The catch: The interface feels busier than FreshBooks. Works best if you're already in the Zoho ecosystem.

Skip it if: You want the cleanest possible UX or need deep accounting integration.

#5

BonsaiBest all-in-one

Proposals, contracts, invoicing, and time tracking in one platform.

3.5
From $19/user/mo

Pros

  • Proposals + contracts + invoices in one
  • Built-in time tracking
  • Client CRM and portal
  • Tax summaries included

Cons

  • Invoicing only from $19/user/mo tier
  • Per-user pricing adds up fast
  • Annual billing — no monthly flexibility
  • Limited VAT support for EU

Bonsai is built around the full client lifecycle: proposals, contracts, project management, time tracking, invoicing, and expense tracking in one platform. If you're tired of stitching together five separate tools, Bonsai is worth the premium.

Pricing: Basic $9/user/mo (no invoicing) · Essentials $19/user/mo (invoices + proposals + contracts) · Premium $29/user/mo · Elite $49/user/mo. All billed annually.

The catch: You need Essentials ($19/user/mo) to send invoices at all. Per-user annual pricing climbs fast with collaborators.

Skip it if: You're based in Europe and need VAT compliance, or invoicing is your only need.

#6

HarvestBest for hourly billing

Time tracking that flows directly into invoices.

3.5
Free / $9/seat/mo

Pros

  • Seamless time-to-invoice workflow
  • Project budget tracking
  • Integrates with Asana, Slack, QuickBooks
  • Free plan for solo freelancers

Cons

  • Not a full accounting tool
  • No recurring billing for retainer clients
  • Free plan capped at 2 projects
  • Gets expensive for larger teams

Harvest's core strength is turning tracked time directly into invoices. You log hours against a project, hit "create invoice," and Harvest builds it for you — no manual entry, no calculation errors.

Pricing: Free (1 seat, 2 projects) · Teams $9/seat/mo (unlimited seats and projects) · Enterprise $14/seat/mo.

The catch: Not a full accounting tool — you'll still need Wave or Xero for bookkeeping. No native recurring billing for retainer clients.

Skip it if: You bill fixed-price projects, need full accounting, or have retainer clients who need recurring invoices.

#7

QuickBooks SolopreneurBest for US tax prep

Invoicing tied directly to quarterly tax estimates and TurboTax.

3.5
From $20/mo

Pros

  • TurboTax integration for year-end taxes
  • Quarterly estimated tax calculations
  • Mileage and expense tracking
  • Strong brand name

Cons

  • US-only — no VAT or multi-currency
  • Pricier than dedicated invoicing tools
  • Less polished UX than FreshBooks
  • Overkill without the tax features

QuickBooks Solopreneur is built for solo freelancers in the US who want invoicing, expense tracking, and tax preparation in one place. The TurboTax integration is the headline feature: your income and expenses flow directly into your tax return at year end.

Pricing: Solopreneur $20/mo · Simple Start $38/mo. Frequently runs 50% off for the first three months — check the pricing page.

The catch: US-only — no VAT, no multi-currency. Overkill if you're not actively using the tax features.

Skip it if: You're based outside the US, have an accountant, or just want clean, fast invoicing.

If you're based in the EU, three requirements change your tool selection: VAT fields on invoices (required by law — your VAT number, the client's VAT number for B2B, the applicable rate, and the amount), Peppol e-invoicing (mandatory in Belgium from January 2026, others following), and multi-currency support if you bill across borders.

Xero is the strongest choice: full Peppol support, VAT return preparation, and wide accountant adoption across the EU. Zoho Invoice is the best free alternative — multi-currency and VAT fields at no cost, though Peppol support is limited. FreshBooks, Bonsai, and QuickBooks are primarily US-built and lack Peppol integration entirely.

Do you need accounting too, or just invoicing?

If you have an accountant, choose Xero — they can access your books directly. Otherwise, FreshBooks or Wave give you enough without the complexity.

Do you bill by the hour?

Use Harvest. The time-to-invoice workflow is the cleanest in this category and saves real hours every month.

Are you in Europe and need VAT compliance?

Xero is the answer. Zoho Invoice works as a free alternative if VAT fields and multi-currency are the only requirements.

What is your budget?

Zero: Wave or Zoho Invoice. Under $25/mo: FreshBooks Lite or QuickBooks (US only). Need everything in one: Bonsai Essentials.

FreshBooks vs Xero: Choose FreshBooks for the cleanest invoicing UX in one currency. Choose Xero if you work with an accountant, bill internationally, or are based in Europe. See our full comparison →

What is the best free invoicing software for freelancers?

Zoho Invoice and Wave are the two strongest free options. Zoho Invoice has more automation (recurring invoices, reminders, client portal) and supports multi-currency at no cost. Wave adds double-entry bookkeeping with no invoice cap. Both are permanently free, not trials.

Is FreshBooks worth it for freelancers?

Yes, for most freelancers who invoice more than a handful of clients per month. The automation — late payment reminders, recurring invoices, automatic late fees — saves two to three hours a month. The 5-client cap on the $23/month Lite plan is the main friction point.

What invoicing software works best for European freelancers?

Xero. It supports VAT returns, Peppol e-invoicing, and multi-currency — the three requirements that matter most in EU markets. Zoho Invoice is the best free alternative if you need VAT fields and multi-currency but can't justify a paid plan yet.

Can I use QuickBooks just for invoicing?

You can, but it's expensive for what you get if invoicing is the only need. QuickBooks Solopreneur at $20/month makes most sense for US freelancers who want invoicing tied to quarterly tax estimates and TurboTax. For invoicing alone, FreshBooks or Wave are better fits.
